Who we are
PracticeHub ("PracticeHub", "we", "us") provides an operations platform for medical practices, available at practicehub.dev and app.practicehub.dev. This policy explains how we collect, use, and protect personal information on our websites and platform.
Information we collect
- Marketing site: if you join our waitlist or request a demo we collect the contact details you submit — name, work email, practice name, role, specialty, and practice size. Do not submit patient information through these forms.
- Platform accounts: account holders provide name, email, phone, and role information used to operate their practice workspace.
- Practice operational data: practices store scheduling, staffing, ticketing, and communications data in their isolated workspace. This data belongs to the practice.
- Technical data: standard logs (IP address, browser type, pages visited) used for security and to improve the service.
Protected health information
Where a practice uses PracticeHub features that involve protected health information (PHI), PracticeHub acts as a business associate to that practice and processes PHI only as permitted by our Business Associate Agreement (BAA) with the practice and applicable law, including HIPAA. We maintain BAAs with the infrastructure vendors that process PHI on our behalf. We do not sell PHI, and we do not use PHI for advertising.
How we use information
- To provide, secure, and improve the PracticeHub platform.
- To respond to waitlist signups and demo requests.
- To send service communications; marketing emails include an unsubscribe option.
- To comply with legal obligations and enforce our terms.
Text messaging
Mobile phone numbers and SMS opt-in consent collected for text messaging programs are used solely to deliver the messages described in our SMS Terms. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties, except as required to provide the messaging service itself.
Sharing
We share information only with service providers that help us operate the platform (such as cloud hosting, database, telephony, and voice AI vendors) under contractual protections, with a practice's direction, or when required by law. We do not sell personal information.
Security and retention
We use industry-standard safeguards including encryption in transit, database-enforced tenant isolation, least-privilege credentials, and append-only audit logs. We retain information for as long as needed to provide the service, satisfy legal requirements, or as directed by the practice that owns the data.
Your choices
You may request access to, correction of, or deletion of your personal information by contacting us. If your information is held within a practice's workspace, we may direct your request to that practice, which controls its patient and staff records.
